Receiving inventory process: a check-in routine for hemp retailers

Updated October 17, 2026

A receiving inventory process has six steps: count, inspect, match, log, shelve and report. Each step happens before any product reaches the sales floor. The routine catches problems while they are still easy to fix.

Zigg Distro is a wholesale distributor of THCa flower, vapes, concentrates, gummies and hemp-derived THC beverages. It sells to retailers, smoke shops and distributors. The routine below fits any order from Zigg Distro, from Freezo gummies to bulk flower by the pound.

Set up a receiving station before the delivery arrives

Pick one clear table or counter for every delivery. Keep new boxes off the sales floor until check-in is done. This stops unchecked stock from mixing with shelved stock.

  • A printed or digital copy of the order
  • A box cutter and tape
  • A phone or camera for photos
  • The inventory log or point of sale screen
  • A pen and labels for dates

Assign one person to receive each order. One name on the log makes follow-up simple.

How to check in a delivery: count against the packing list

Start with the outside count. Match the number of boxes on the carrier paperwork to the boxes at the door. Note any shortage before the driver leaves when possible.

  1. Open each box and pull the packing list.
  2. Count every case and unit by product name.
  3. Compare the count to the packing list line by line.
  4. Compare the packing list to the original order.
  5. Mark any short, extra or substituted item.

Similar names cause mix-ups. Zigg Distro lists White Out as both a 2G live rosin and a diamond coated flower, for example. Check the format, not just the strain name.

Inspect seals and packaging

Look at each outer box for crushing, tears, water marks or reopened tape. Photograph any damage before opening the box further.

Then check the retail packaging. Seals should be intact. Labels should be readable and straight. Jars, pouches and vape boxes should close the way they were made to close.

  • Flower: jars or bags sealed, no crushed containers
  • Gummies: pouches sealed, no punctures
  • Concentrates: lids tight, labels intact
  • Vapes: boxes unopened, devices present
  • Drinks: cans or bottles undented, no leaks

Match products and lot references to lab reports

Zigg Distro places a lab report link inside the product description on the product pages that carry one. Open the page for each product received, such as Breath Mintz THCA Live Rosin.

Check three things on the report against the package in hand: the product name, the product format and the lot or sample reference. A matching product name alone is not a match. A laboratory sample reference is not always the same number as the package batch code.

When the report and the package do not line up, ask Zigg Distro. The guide on how to read a COA covers the report itself in more detail.

Log stock and shelve oldest first

Enter received quantities into the inventory system right away. Log what arrived, not what was ordered. Record the date and any batch code printed on the package.

  1. Update counts in the point of sale or spreadsheet.
  2. Label back stock with the receiving date.
  3. Move older units to the front of the shelf.
  4. Place new units behind them.
  5. Store back stock by product and format.

First in, first out rotation keeps older units moving. Accurate counts also feed reorder planning. The guide on reorder point planning explains how those counts set reorder timing.

Report problems to the supplier quickly

Report shortages, damage or wrong items the same day when possible. Fresh reports are easier to trace. Shipping terms are on the Shipping and Returns page.

  • Order number and delivery date
  • Product name and format
  • Count expected and count received
  • Photos of boxes and packaging
  • Batch codes from affected units

Send the report through the Zigg Distro contact page. Keep the affected units set aside and unsold until the issue is settled.
